Fourteen reps, HubSpot Enterprise at £2,400 a month, and half the seats logged in twice a week. Her custom workflow rules needed an admin to touch them. Deal data lived in HubSpot, billing lived in Stripe, and the partnerships pipeline lived in a spreadsheet nobody trusted.

Pain-first, soft-second. The questions every ops lead asks after the third HubSpot renewal.

The audit week is fixed at £8K. After that, a custom CRM development build is line-itemed into the scope: pipelines, permissions, email and calendar, billing, reporting, handover. Most sales-led CRM builds we sign land between £55K and £95K on an eight-to-twelve week fixed-price sprint. At 14 reps on HubSpot Enterprise, the median payback is about thirteen months, and after that you’re paying £0 in seats while the bill would have kept climbing. If we can’t beat your numbers, we tell you in week one and you keep the audit brief.

Migration is part of the sprint, not an afterthought. We pull your contacts, companies, deals, activities and custom properties through the HubSpot API into a staging copy first, reconcile record counts against your export, then cut over once the numbers match. We run the old and new CRM in parallel for a week so your reps never lose a day. No record is deleted until you’ve signed off on the staged copy.

Your code lives in your GitHub org from commit one. IP assigns on commit, not on final payment. The CRM is built on the MERN stack and documented in ADRs, so any senior UK developer can pick it up in week one. If Empyreal vanished tomorrow you’d have a working repo, a runbook, and the architecture decisions written down. Nothing about your custom CRM is locked inside our walls.

Three things. First, the 30-day walk-away clause goes both ways and refunds the unused portion. Second, payments are milestoned: 25% on signed scope, 25% on staging up, 25% on production live, 25% on handover, so you never pay more than 25% ahead of working software. The audit log records every record touch with actor, IP and timestamp, which makes a 30-day DSAR response defendable instead of a two-day scramble. Right-to-erasure is built at the schema, so deleting a person actually removes their data rather than hiding it. We host in the region your customers sit in, ship a signed DPA with SCCs for any cross-border flow, and keep a versioned sub-processor list your procurement team can audit.

Yes, with 14 days’ notice. The engineers move to other work, your repo stays where it is, your spend pauses. Pick it back up with 14 days’ notice and we resume at the same sprint board with the same engineers. No cancellation fee, no restart fee. We’ve done this several times in 2025, including two clients who paused for months and came back to ship.

Often the best outcome. Your developer knows the process and the people, we know the multi-tenant CRM patterns. We pair on the architecture, hand the well-trodden parts to your team, and keep the load-bearing pieces (permissions, audit log, billing) with our seniors. Code review runs both ways. When we leave, your developer owns a CRM they helped build, not one they have to reverse-engineer.
